‘You’ the Delegate, ticket holder

1. Introduction

By purchasing tickets for our conference, you are entering into an agreement with Primary Science Teaching Trust Trading Limited (company number: 09017123) whose registered office is at 12 Whiteladies Road, Bristol, BS81PD (PSTT) on the basis of these terms and conditions.

Primary Science Teaching Trust Trading Limited is a wholly owned subsidiary of the Primary Science Teaching Trust, a registered charity and carries out its trading activities.

2. Booking and Confirmation

Our booking system is operated on our behalf by Eventbrite.

When you confirm your order for tickets, you are making an offer to PSTT to purchase tickets on the basis of these terms and conditions. You are responsible for making sure that all information is correct before booking your tickets.

Once you have booked your tickets, an order confirmation will be sent from Eventbrite to the email address you provide with an e-ticket attached. You will be required to print and bring the e-ticket to the Conference or display the QR code on your mobile device. You may be refused access to the Conference if you are unable to produce proof of your ticket.

If you are purchasing conference tickets on behalf of another delegate, you have a responsibility to ensure all such delegates attending the conference understand these terms and conditions.

When booking your ticket, it is your responsibility to check you have chosen the correct ticket option. Your ticket will be checked and if you do not meet the criteria for your chosen ticket option (laid out clearly on our ticket site) then you will be asked to pay the difference towards the correct ticket type and depending on availability of tickets this could mean you forfeit your space.

There will be a limited number of trainee teacher tickets, sold on a first come/first served basis.

Tickets with discount codes applied will be checked and if the purchaser does not meet the criteria for discount or has not been granted use of a discount code then they will be asked to pay the difference toward a full ticket price and depending on availability of tickets they risk forfeiting their space.

If you have booked your ticket at a reduced or concessionary rate or if a bursary has been granted, you may be required to produce personal ID. If you are unable to provide satisfactory identification, we reserve the right to refuse you access to the Conference.

3. Payment and Fees 

Fees are payable by credit/debit card. VAT at 20% (or such other rate as is then prevailing) shall be applied to the appropriate fee.

In exceptional circumstances, it may be possible to pay via BACS or cheque. Delegates should contact tickets@primaryscienceconference.org for further information.

Conference fees will cover entrance to the conference, lunches and limited refreshments during the conference and access to the full conference programme (dependent upon your advance booking into individual sessions). Fees do not include accommodation. Fees do not include entrance to the Conference Dinner on Thursday 6th June 2019. Tickets to this event must be purchased separately.

Entrance to the Conference Dinner (Thursday 6 June 2019 at Dynamic Earth, Edinburgh) will only be granted if proof of purchase is shown. Where tickets have been bought on the behalf of others, the lead booker is responsible for providing tickets/proof of purchase for the rest of their party and must ensure the party understands these terms and conditions. 10% discount will be offered to tables of 11 guests together. These guests must purchase their tickets in one transaction and must select the discounted ticket type on Eventbrite.

4. Accommodation

No accommodation is included in the conference fee. Suggested accommodation for the Conference is listed on www.primaryscienceconference.org . Early bookings are recommended as Edinburgh City Centre hotels fill up very quickly in the summer season.

A limited number of discounted rooms have been reserved at various hotel in Edinburgh and are listed on our website. Quote the code ‘PSEC2019’to access these discounted rates. These rooms will be allocated on a first come/first served basis and only at the discretion of the individual hotel. Rooms are to be booked directly through the individual hotels offering these discounts.   

5. Overseas delegates 

Overseas delegates who require a letter of invitation from PSTT to apply for a UK visa are advised to book their ticket in good time in order for PSTT to confirm their booking ahead of any visa application. The conference fee must be paid at the time of booking. Please be aware that visa applications can take in excess of 12 weeks depending upon demand. If your visa application is rejected, we will refund your ticket fee minus an administration fee of £20 plus VAT. A refund of your ticket fee, less the administration charge, will be effected as soon as possible.

6. Cancellations made by the delegate

If you chose to cancel your ticket, the organiser is unable to issue a refund. In exceptional circumstances the organiser may agree to issue a refund but decisions on refunds are at the absolute discretion of the organiser. We recommend that you take out adequate insurance to cover such eventuality. If a refund is issued for any reason, we reserve the right to charge a suitable administration fee.

No refunds or credits will be given for non-attendance at the Event.

7. Conference Cancellation and Programme Changes

The programme for the Conference will be developed and may be altered before the Conference takes place and accordingly, the organiser reserves the right to change, alter or cancel any part or aspect of the Conference, including presenters, content and/or any activities if it considers it, in its discretion, to be necessary or desirable. We will attempt to notify you by email of any significant changes, alterations or cancellations in advance and it is important therefore that delegates supply up to date email addresses and notify PSTT of any changes. Please note that PSTT will not make any refund of the fees you have paid, or be otherwise liable, unless the Conference, or a significant proportion of it, is cancelled, in which case we will refund to you the fees you have already paid.

PSTT will not be responsible for any other costs you may have incurred or are liable for, including travel and accommodation costs. We recommend that you take out adequate insurance to cover such eventuality.

Conference ticket holders will be invited to book their preferred sessions and workshops ahead of the event. We encourage all delegates to book early to avoid disappointment. We cannot be held responsible for missed opportunities but will endeavour to re-run popular workshops if possible.

8. Transfers

Except as set out below, there will be no charge to replace a delegate with a substitute. Please contact info@primaryscienceconference.org to advise of the substitute’s details. Please ensure the transfer request is received by PSTT within 10 working days before the conference start date. Any later and transfer may not be possible.

9. Bursaries

A. Conditions of application for conference bursaries

9a.1. Applicants should have responsibility for the teaching of some science in their school, although they do not need to be a science specialist.

9a.2. It is preferable, but not essential, that the applicant is the subject leader for science in their school.

B. Terms and conditions for conference bursaries

9b.1. The value of each bursary is up to £1,000.00 to be used to cover the costs incurred from attending the conference. Costs covered include only the three-day conference ticket price, accommodation, travel and teacher cover. Please note bursaries are only available to teachers employed by schools in the UK.

9b.2. The deadline for bursary applications is 5pm on 14th December 2018.

9b.3. Successful applicants will be notified by 18th January 2019.

9b.4. Applicants who are offered a bursary must acknowledge their acceptance AND register and pay for a three day conference ticket by 5pm on 22nd February 2019. Failure to do this may result in the bursary being reallocated.

9b.5. Bursary recipients are responsible for booking and paying for their own travel and accommodation.

9b.6. After the conference, bursary recipients will be able to claim back expenses (to include the three day conference ticket, travel, accommodation and teacher cover) from the PSTT up to the value of £1,000.00. NB the conference ticket includes refreshments and lunch, but the bursary does not cover any additional subsistence costs.

9b.7. Schools are only eligible to claim bursary funding for actual costs incurred (all receipts will be required).

9b.8. Claim forms will be sent to all bursary recipients. Completed forms and receipts can be sent to PSTT immediately the conference is finished and must be returned by 8th August 2019 at the latest. Claims received after this date may not be processed.

9b.9. Claims will be paid to the school within six working weeks from the date that the completed claim form is received.

9b.10. The PSTT will only make payments to schools. Payments will be made by BACS. No payments can be made to individuals.

9b.11. Bursary recipients are expected to attend the whole conference; where travel arrangements or personal circumstances prevent this, a minimum of two full days must be attended. Please see the cancellation policy – section C below

9b.12. Bursary recipients who have already registered for the conference (i.e. prior to a successful bursary application) and bought a three day conference ticket will still qualify for a refund of this ticket as part of the bursary.

9b.13. If any teacher fails to meet the terms and conditions of their bursary, the school will be notified..

C. Cancellation policy

9c.1. Payment of the bursary is dependent on full attendance at the conference; where travel arrangements or personal circumstances prevent this, a minimum of two full days must be attended and the PSTT notified of the reasons for this. In the event of a cancellation, the bursary will not be paid. 

9c.2. If the cancellation is due to exceptional circumstances the cost of the conference ticket may be reimbursed. This is at the discretion of the PSTT and applications must be made in writing by 17th June 2019. Accommodation and travel costs will not be reimbursed under any circumstances. For this reason, we recommend that you take out insurance.

9c.3. In the event of a bursary recipient being unable to attend the conference the delegate pass can be transferred to a colleague from the same school; the PSTT must be notified of the change in advance of the start of the conference. The bursary payment will be made to the school provided the new recipient meets the criteria for applicants.

D. Bursaries will not be paid when:

9d.1. The participant fails to attend the conference for the required time without providing a suitable reason.

9d.2. The participant has absented themselves from sessions without providing a suitable reason.

9d.3. The participant has left the activity early without offering a suitable reason.

9d.4. The school or academy does not release the participant because of events, such as an Ofsted inspection, that are part of normal school or academy business.

10. Data

Our privacy policy set out here provides details of how we will use information about you: www.primaryscienceconference.org. In addition, Eventbrite will use your personal data for the sole purpose of administering your booking and we will use the information you provide for contacting you in relation to the Conference and to administer the Conference itself.

In purchasing this ticket, you also understand and agree that your personal data may be held and used by The Primary Science Teaching Trust (organiser of this event), and any third-party hosting provider acting on its behalf, in order to stage the event and to analyse visitor traffic with a view to improving the event experience for participants.

There will be opportunity during the conference to interact with other organisations. You understand that by allowing your badge to be scanned by an exhibitor or sponsor, you will be providing that exhibitor or sponsor with your personal data (as disclosed when registering). You consent to this personal data being transferred and accept that this exhibitor or sponsor may contact you about their products or services. You understand that this partner or sponsor may transfer your data outside of the UK and outside the European Economic Area for these purposes and you consent to such transfer.

11. Filming and photography

We may, at our discretion, choose to photograph, film, broadcast or record the event and consider this as legitimate business interest. You grant us licence to use and sub-license the use of your name, voice, likeness, image and any contribution made by you at or to the Event in any and all media (whether now known or hereinafter invented) throughout the world and in perpetuity.

We will advertise when recording of any type is taking place. If you do not consent to the use of your name, voice, likeness, image contribution we would ask that you actively remove yourself from shot/ from area of filming and inform the persons in charge of the camera of your preferences.

12. Badges

Badges must be worn at all times during the Event. Badges are valid for the registered delegate only. Any misuse will result in delegates being denied access to the Event.

13. Additional Tickets

Our Awards Dinner held at Dynamic Earth on June 6th, 2019 requires a separate ticket and is payable in advance through our ticketing system. Anyone with such ticket is responsible for making sure they receive the correct information/updates regarding this additional event. PSTT will post additional information on its website and/or share information via email prior to the event

If you purchase tickets on behalf of others, you have a responsibility to ensure all person attending the dinner understand these Ts and Cs. You must also inform the organiser of the names of all guests attending in your group. This will ensure they are on the guest list and can be granted entry on the night of June 6th, 2019.

You will be responsible for your own health and safety at our Awards Dinner. We will not accept any liability for any loss or damage suffered by you at this event and encourage you to seek out and read Dynamic Earth’s Terms and Conditions.

Social Night Tickets have been sought out by the organiser, however they are organised by a third party. If you purchase a ticket to a social night, these are brought at your own risk and the organiser will not accept any liability for their arrangements. We encourage you to read the Terms and Conditions offered by the relevant venue before attending.

14. Limitation of Liability

PSTT accepts no liability to you (whether in contract, tort (including negligence), statutory duty or otherwise) and is not responsible or liable to you to any greater extent, nor will be liable to you for any financial loss that you may incur as a consequence of the use of the website, or the supply, use or non-use of tickets.

15. Revision of Terms and Conditions

We reserve the right to change these terms and conditions at any time by amending them on the Conference website www.primaryscienceconference.org.

16. Programme Content

The views expressed by any speakers at the event are their own. We shall not be liable for the views, acts or omissions or any such speaker or any other attendee at the Event.

17. Health and Safety

You are responsible for your interaction with other delegates and agree to act responsibly and exercise caution, common sense and safety while in attendance at the conference.

18. Compliance

We reserve the right to refuse you entry to the Event, or subsequently remove you from the Event, where you fail to comply with the Ticket Terms and Conditions.
